Check the daily plan: match guests, instructors and equipment

Before the first lesson, check arrivals, groups, instructors and equipment.

The daily plan is where the school's offer becomes work for people and equipment. A brief, repeatable review is more useful than a screen that looks complete while important exceptions remain unresolved.

Check bookings, staff and equipment before the first arrival

Check the day, location and relevant bookings. Review participant needs, instructor availability and equipment. Distinguish a confirmed assignment from a proposed one, and give someone responsibility for missing information or open payment questions.

In TIDEFORCE, the Whiteboard connects the planning work with booking and participant records. Staff form groups and make assignments; they still judge suitability, safe group sizes and conditions.

Update the plan and inform the people affected by a change

For a moved lesson, changed instructor or substituted item, update the actual plan and check the downstream consequences. Who needs to know? Is another group using that equipment? Does the guest's meeting information need to change?

Agree who communicates with guests and staff. Do not assume a weather change or a planning edit automatically sends every necessary message. Test configured notifications with the relevant roles.

Record attendance, equipment changes and open tasks after the lesson

Confirm attendance and the work completed. Record any equipment changes and finish the report while the details are fresh. These entries support equipment history and payroll preparation.

At the end of the day, review outstanding issues while events are still fresh. Decide who will complete missing reports and resolve payment questions. Invoices and payroll records still need to be reviewed by the person responsible.

The operations overview explains the planning workflow. Team reports and payroll preparation covers the records that follow.
